The ProGo Template Library
Template Library Area
Click on the 'Template Library' link once you start ProGo. This will take you to the template library area where you can:- Browse the templates bundled with ProGo
- Import your own templates
- Export selected template modules or specific templates
- Import your own Word document styles (Enterprise Edition Only)
- Assign or reassign roles to templates
- Move, copy and manage your own templates
Tabs In The Library Area
At the bottom left corner of the right panel are tabs which allow you to navigate between a:- 'Property' View - showing the details of the current selected folder or template from the left-hand side tree
- 'Template List' View - showing all the templates contained within the module. This view allows you to move, copy and assign roles in bulk to selected templates.
- 'Preview' View (select a template first) - showing the template inside the appropriate Microsoft Office application
- 'Thumbnail' View (select a template first) - showing an thumbnail preview of all content within the template (StartUp Edition Only)
Import Your Own Templates
To import a template, you will first need a custom module to hold your custom templates. Follow the following steps to complete this process:- Click on 'Action' and select 'New Custom Module'.
- Enter the name of your custom module (eg. My Company Templates) and other relevant information.
When you've completed the details, Click 'Ok'.
Text content entered in the purpose, description and/or usage guidelines follows the Textile format. - Click on 'Action' and select 'Import Templates'.
- When the dialog appears, select the 'Destination Module' that will contain the imported templates and 'Browse' for a folder you your computer. Once you select a folder, the list of items in that folder will appear. You can keep browsing and adding templates to be imported.
- Ensure that the templates to be imported are checked before importing. Click 'Ok'.
- ProGo will now copy each of the checked templates into its repository
Modify Template Properties
To modify any given template that resides in the Custom template module node, you can:- Right click on the template in the tree and click 'Edit Properties'. This should then allow
you to change the name, purpose, description and/or usage guidelines.
Text content entered in the purpose, description and/or usage guidelines follows the Textile format.
- Assign roles (even in bulk) to templates.
- Click on the 'Template List' View
- Select the templates you wish to assign roles
- Click on the 'Assign Roles' button
- A grid will appear showing you document roles (columns) and people (rows). Click on the add icons or double click the column title to rename an existing document role or person. Check which roles are allocated to which people by click on the grid cells.
Note: ProGo recognises four key document role names, but any document role name can be entered. They are 1) Author 2) Owner 3) Reviewer 4) Approver.

Custom Project Delivery Blueprints
The 'Project Blueprints' area can be accessed via the 'View' menu or the bottom left hand side. In this view, you can select a ProGo blueprint, and click on the 'Blueprint' tab (near the bottom) to see a graphical representation of your selected blueprint.A ProGo Project Blueprint represents your delivery plan for a class of project (eg. a small scale internal software developement project). The ProGo allows you to create or customise your own blueprints, so that you can determine:
- When deliverables are to be completed (denoted by the stage it is in)
- What responsibilities are required for the document (denoted by the document role)
- Who is responsible for what aspect of the deliverables (denoted by the person attached to a document role)
(Note: Only ProGo Consultant and Enterprise include this feature. The free StartUp
Edition includes this feature for evaluation purposes only.)
Customise Your Own Blueprints
The quickest way to create your own blueprint is to customise an existing blueprint. ProGo comes with four, ready-to-use blueprints that you can duplicate to begin with. Perform the following:- Select an existing blueprint.
- Right click and select 'Duplicate'.
- Expand the 'Custom Blueprint' node and select the duplicated blueprint.
- Click on the 'Edit' button in the Blueprint toolbar.
- On the left will be a new tree, that shows every template across all library modules and blueprints
- Select a template and drag it to an appropriate stage.
You could even select the folder above and drag the folder to a stage and it will insert all the documents in that folder.
- The view updates with the new documents and any new roles.
- Select a particular template and click on 'Assignment...'
- A dialog will appear allowing you to change the role assignments for that template in this particular blueprint
Exporting & Communicating
Communicating Your Final Plans
The advance export and publishing features ProGo includes allow you to easily communicate and publish your finished templates, complete with:- A consistent style for all Microsoft Word documents. You can also specify your own custom style, so you can match the particular client/project you are working on or brand the exported templates with your own identity. Note: only the Enterprise Edition allows custom styles.
- Consistent document properties - each Office document will be 'stamped' with the appropriate document properties making it possible to integrate with 3rd party document control systems that rely on this information to track, manage and maintain documents.
- An HTML application - containing all the template meta-data with convenient links to download the documents as required.
- A Microsoft Project GANTT chart - to get your planning started
- An image of the blueprint - so you can email the image to other 3rd parties.
Communicate In Style
To export content out of ProGo, simply right click on any of the elements in the tree view. This section will walk you through exporting a Blueprint, but the process is the same for exporting a singular template, or an entire Template Module.- Begin by select an existing blueprint
- Right click and select 'Export & Publish'
- When the Export Dialog appears, select 'Generate Supporting HTML Documents'. This will generate the HTML site, which contains the supporting content to help communicate with the rest of your project team (eg. Purpose, Description and Usage Guidlines for the stages and templates) (Note: Publishing an HTML site is only available for the Enterprise Edition.)
- Select an export setting. Export settings allow you to set document properties which are stamped on all documents when exported. (Note: Editing export settings and creating new settings is only available for the Enterprise Edition.)
- Check 'Generate Document Signoff Table'. This will tell ProGo to generate the signoff table for Word documents.
- When the Substitution Dialog appears, enter in the names of the people who fulfill the identified roles on your particular project. Multiple names are supported by separating names with commas.
- Indicate to proceed and the export will commence. ProGo will provide an estimated time to completion.
- When the export completes, click on 'Close and Open Folder' and ProGo will open the directory where the exported artifacts have been placed
- Navigate to the 'HTML' folder
- Open the 'index.html' in your browser to see the static HTML site. The entire folder contents can be placed on a shared folder or uploaded to your organisation's web server
